Role, Purpose, and Scope:

Provides a range of support to Vendor Management Operations (VM) in the sourcing of external and internal training provision on behalf of clients.
Which includes: day to day contact with Client L&D/Curriculum/Programme Managers; training vendors/providers; learners; internal Xerox Services Training Administration (TA) team; Internal Accounts and Finance Department and other internal functions (e.g. HR, IT).
The scope of this role will entail the effective delivery of ‘Managed Service’ as required by the contract and/or specific programmes/curriculums.
This role involves the day to day processing of purchase orders, invoice management and gathering relevant data for required management information.

Major Responsibilities:

• Effectively manages day to day delivery of internal/external training requests:
- Operates within ‘Managed Service’ environment (contract and specific curriculum/programme requirements)
- Co-ordinates with both known and new training vendors/suppliers in order to effectively fulfil client requirements
- Has responsibility for managing purchase orders and invoicing management
- Ensures accuracy of information received and if applicable requests or clarifies further information from the client/vendor
• Effectively manages day to day contact with internal and external vendors /suppliers and other departments:
- Liaise with training administration team to ensure clients requirements are met and ownership for tasks and responsibilities are understood
- Liaise with both Xerox internal and client/vendor Finance and Accounts departments
- Ensure closed loop process is completed with TA for all course bookings and registrations
• Liaise with client organizations:
- Work with the client’s Learning & Development departments and learners to ensure requests are fulfilled satisfactorily
• Query resolution of:
- Learner requirements
- Vendor/supplier requirements
- L&D department
• Identify recommendations for process improvements in conjunction with the client and internal departments and implement accordingly:
- To existing processes
- New processes
