Co-ordinates, supervises and checks all administrative matters as well as manages the relationships with managers and administrative employees. Ensures a good functionality of the Administrative Department.
Key responsibilities include:
- Manage the secretarial and protocol activities performed by secretaries;
- Compose professional documents (e.g. proposals, letters, etc), as well as general clerical duties (Processing documents, reports, notes, memos etc;);
- Handle correspondence by receiving, sorting and directing incoming mail to the staff;
- Promote and coordinate orders regarding: furniture, paper and other materials for the offices;
- Supporting administrative tasks for the management;
- Maintain up-to-date the department databases;
- Mange and ensure appropriateness of arrangements for meetings, travel and events;
- Ensure documents are filed and archived according to internal document retention policies.
Required education, knowledge and skills:
- University degree in Business/Economics or experience in office organization for an international company;
- Excellent command of written and spoken English;
- Excellent PC proficiency, especially Word, MS Excel, Internet;
- High level of motivation, positive attitude and team oriented;
- Strong communication and interpersonal skills;
- Time management skills and especially the ability to assess the urgency of a situation and respond appropriately;
- Analysis and synthesis abilities;
- Concern for Order and Quality;
- Creativity and proactivity;
- Planning and organizing skills;
- Negotiation skills.
