RESPONSABILITATI

Scope: You will work closely to the Chief Human Resources Officer (CHRO) to provide high-level administrative support by conducting research on various topics, preparing reports or presentation drafts, handling information requests, organizing the agenda and events, and performing various clerical tasks.



The main responsibilities and tasks will be:

• On a daily basis act as a first point of contact for the CHRO partners, collaborators and/or clients by performing the following activities:

- organize the agenda of the Chief Human Resources Officer (CHRO); schedule appointments and makes arrangements for meetings, conferences, and travel

- facilitate the communication stream between CHRO and the internal or external partners, collaborators etc., by handling correspondence (including email and faxes), answering calls and receiving visitors

- manage documents flow: read and analyze incoming emails, memos, submissions, and reports to determine their significance and plan their distribution;

- ensure support throughout the HR department (travel arrangements, translations, presentations, settlements, business trips, participation at conferences and workshops internal and external etc.).

• Create, gather, compile and revise diverse content for reports and presentations

• Organize periodical HR meetings, keeping the meeting minutes; share materials and information when requested

• Ensure follow-up for decisions or other important activities

• Provide assistance in organizing the logistics for other HR projects, special events, off-site meetings etc.


CERINTE

1-2 years of experience in a similar position (executive assistant in a multinational environment/ medium-to-large size company) would be a good starting point for a successful candidate.



Education and knowledge:
• University degree (master degree would be an advantage). Graduation in one of the following areas is preferred: Economics, Management, Business Administration, Organizational Behavior, Organizational Psychology

• Familiar with computer work and able to use fax, printers and scanners

• Strong in computer skills: o MS Office Suite: Word, Excel, PowerPoint, Outlook – proficient level; Visio and MS Project are advantages
o Internet browsing, able to use the online marketing and social networks for professional purposes

• Proficient in English, both written and spoken

• Good clerical skills: knowledge of administrative and clerical procedures

The job is on a determined period of 1 year.
