• To work closely with the regional office in the renewal of project related legal documents - and with Corporate legal department under their guidelines and overall supervision, and ensure all documents are kept as per security procedures
• To keep accurate records of all valid licenses / certificates / all site land and marine equipment, and to ensure, that all renewals are carried out prior to expiry deadlines
• To monitor all associated operating documents of equipment and advise Plant and Equipment Department with accurate status reports.
• To provide Regional Insurance updated reports on all claims and adhere to insurance policies & procedures
• To ensure all staff residential / camp facilities are prepared / maintained to an acceptable level, and to ensure accommodation availability based on staff category is planned and arranged well in advance of requirement, this through clear guidelines and close liaison with the Facility Manager
• To provide to the Regional Business Support Manager accurate annual and quarter budget forecasts for the Business Support Department, this based on clear procedures as well as addressing cost saving efforts.
• To keep the senior site management updated on all staff recruitment / mobilization / material management issues through accurate daily progress updates
• To prepare the necessary budgets for setting – up of new agreements and ensuring adherence to Regional office policies & procedures
• To ensure dissemination of clear guidelines for negotiating and finalizing local purchase agreements with third approved parties and suppliers, and to keep accurate files for audit purposes
• To liaise with Regional procurement in the requirements for imported materials, and ensure the tracking of payment / delivery is as per required timelines, through a weekly ordered material status report.
• To work with Regional finance with the provision of accurate information so as for them to prepare Letters of Credit, and they are provided in time to meet the necessary delivery timelines
• To ensure adherence to quality standards by local vendors as well as on time delivery of services and goods agreed, and that the concerned policies & procedures are followed and to keep track with clear weekly L.P.O. status reports
• To monitor and follow all applicable central and state government regulations, as required for setting up / running a Project, and to ensure all concerned Business Support staff are aware of such regulations.
• To ensures 100% compliance with all safety regulations, statutory safety compliance and related laws, and to monitor the external workplace for any updates to all regulations
• To motivate and supervise the business support team, including all staff in facilities, administration and personnel, procurement, public relations, secretariat and insurance departments, this through clear section K.P.I.’s and precise objective measurements
• To provide guidance via the Personal Officer to the Personal department in all areas of responsibility, including payroll, H.R.I.S., Visa activity and Ticketing and arrivals, and to measure department activity and section accuracy, through clear guidelines and policy & procedure adherence
• To provide clear and transparent communications among business support team as per the agreed process work flows, this through regular prearranged team meetings
• To effectively manage the allocation, of manpower of the department in conjunction with annual leave plans / promotion to ensure results inline with expectations
• To ensure all staff wellbeing is looked after through proactive employee relations and to support and develop personnel, and to address and resolve personnel issues.
• To provide accurate department reports as and when required by Regional Business Support Manager
Requirements:
• Degree in Commerce / Finance
• Additional Business Qualifications a strong advantage
• 8-10 years in a similar position, preferable in a construction environment
• Worked with complex financial scenarios both in budget development and budget tracking
• Excellent knowledge of MS Office, Outlook
• Excellent Financial awareness with a strong understanding of accounting processes
• Strong communications skills in spoken / written English.
