RESPONSABILITATI

- Preparation of routine letters, memos, correspondence and reports (requiring data gathering and summarizing, translation from/into English/Romanian & using appropriate software designed for word processing, graphics, and spreadsheets);

- Ensures communication of instructions from the Director’s office to the division members/ or organization and collect back the requested information;also follows up the fulfillment of the instructions;

- At the supervisor’s request may organize workflows and assign tasks at the division level, following-up the required actions;

- Schedules appointments and makes all required arrangements for meetings, conferences, and travel;

- Handle efficiently/screen the phone calls, letters, and/or visitors, answers routine questions, furnishes information or refers the requests to the most appropriate staff, so to preserve an efficient agenda for the Director;

- Organizes and maintains files of Director’s correspondence and records, following up on pending matters; is responsible for keeping and maintaining the hard copy archive and the electronic archive of the Director;

- Follows up the documents issued by the Division’s Director during the approval flow;

- Provides support, if requested, to the division during the internal audit actions;

- Provides support to the division members in following the workflows for document’s approval and reviews them for compliance before submitting these externally and/or internally;

- Carries out functional assignments under Head of Executive Support Office’s supervision;

- Implements specific procedures, instructions as requested by the Executive Support HOO;

- May be involved in other related projects as per his/her level of competence.


CERINTE

- University degree;

- Minimum 6 months experience in a multinational environment/ medium-to-large size company;

- Good English language;

- Strong computer skills are a must (Microsoft Word, Excel, and PowerPoint);

- Excellent communication (oral & written) and interpersonal skills;

- Ability to handle confidential information in an appropriate and professional manner;

- Ability to work independently, as well as to work well within and across teams;

- Ability to follow-through until completion of tasks;

- Excellent administrative skills, with particular emphasis on accuracy, priority setting and observing deadlines;

- Customer-oriented attitude: commitment to answer requests and solve problems.
