RESPONSABILITATI

The Payroll Specialist is responsible for providing support and coordination on various projects and activities regarding the payroll administration processes, in order to support the operational initiatives and development.

The Payroll Specialist serves as the link between the organization and its employees and represents the company in Payroll issues such as managing the employee files and employee database, keeping all personnel
files up to date due with the changes in the individual labor contracts, in order to provide complete and accurate data that supports the monthly salary calculation process.

The Payroll Specialist is also responsible for offering support to all colleagues in the offices he/she manages (Brasov) in matters regarding the issuance of necessary confidential certificates, internal regulations and job descriptions.

What will your responsibilities look like?

Prepare correct and timely documents requested by employees
Prepare employment documents (employment contract, addendums, job description, confidentiality statements database)
Ensure the signing of documents before the new employees start work
Prepare the suspensions/decisions regarding the termination of employment
Prepare certificates required by the employees (for the Bank, physician, Tax Department, CJAS, etc.)
Update the internal rules and regulations of the company and the collective labor agreement according to legal procedures
Send the medical certificates for approval to the iQuest Group holidays owner
Ensure the preparation of the job description and hand it to the employee when changes occur in their role and responsibilities
Give confirmation over the phone to the banks regarding the certificates issued for the employees
Keep employee files updated
Handle and prepare the documents required by the state institutions: ITM, AJOFM, CJAS, Fiscal Administration
Send the list of newly created/ vacant/ occupied positions to ITM
Send the digital list of employees who are on sick leave
Centralize the medical leave documents from the previous month and submits a copy to CJAS Brasov
Ensure the notarization of graduation certificates for the employees who are exempt from taxes, as required by law
Prepare the monthly, quarterly and annual employee statistic information by filling in the templates as requested by the County Department of Statistics
Update the databases on a monthly base, making sure that they are correct

Good English skills, both written and spoken

Advance knowledge of Microsoft Office programs

What experience do you need?

Experience and Qualifications are required
A bachelor’s degree in Economic Sciences or Human Resources is mandatory. A master’s degree in Economic Sciences, Business Administration or Human Resources is preferable
At least 1 year of experience working with HR and payroll procedures (employee files, reports to state institutions, etc.)
Additional courses in Legislation, Accounting, Communication, HR policies, HR Payroll are a plus
Experience in the software/IT industry (e.g. iQuest specifics: business IT solutions) or/and custom dev. solutions or/and services);
