Site Administrative Job Description:

– A Site Administrator provides both clerical and administrative support to professionals, either as part of a team or individually. The role plays a vital part in the administration and smooth-running of businesses throughout industry.

– Site Administrator is involved with the coordination and implementation of office procedures and frequently has responsibility for specific projects and tasks and, in some cases, oversees and supervises the work of junior staff.

– The Site Administrator will be responsible for providing basic confidential, secretarial, administrative and clerical support, including assistance to department staff. Uses independent judgment in carrying out responsibilities and takes initiative to handle routine and semi-routine matters.

Principal Duties and Responsibilities (PDR):



- Using a variety of software packages, such as Microsoft Word, Outlook, Powerpoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records and databases;
- Screens telephone calls, takes clear and complete messages and directs calls to the appropriate individual.
- May handle routine and semi-routine matters on behalf of the supervisor or manager.
- Processes correspondence by use of a word processing system. Composes routine correspondence on behalf of the supervisor or manager.
- Sorting and distributing incoming post and organising and sending outgoing post; Opens, sorts and distributes mails or e-mails.
- Performs non-routine clerical tasks with limited supervision.
- Sets up and maintains files in a timely and organized manner.
- May handle incoming and outgoing fax messages and relative fil
- May keep track of Manager’s schedule.
- May make travel arrangements as necessary.
- Arranges and secures meeting rooms for meetings or events.
- May perform following duties depending on office assigned:
- Follows internal collections process instructions for communicating with clients on overdue payments and invoices.
- Creates and maintains databases for technical departments.
- Supports technical staff of the department as required regarding project tracking, logging, filing, or responding to client requests, etc.
- Maintains graphics for technical departments.
- Performs most of the general office or clerical duties for assigned technical department, including but not limited to stamping and booking out submittals.
- Learns other complex functions or computer applications in support of an Engineering or Technical Department.
- Organizing and storing paperwork, documents and computer-based information;
- Photocopying and printing various documents, sometimes on behalf of other colleagues.
- Responsible for updating records in the computer system.
- Involves organizing written records and accurately typing the information into the computer system.
- May process and regularly update the list of personnel, input and update different types of records/timesheets, based upon the department in which they work.


CERINTE

Work Experience:

With 3 to 5 years work experience as administrative in Oil & Gas, Petrochemical, Refinery or Power Plant Industry.
Middle East experience is considered essential.


Other Skills and Competencies:

- Must be skilled in analysis, problem solving, decision-making, planning, organizing, meeting deadlines, multi-tasking, attention to detail, and communication
- With proven experience in creating/producing correspondence and proficient in spelling, punctuation and grammar
- Very good verbal and written communication skills, has attention to details and confidentiality of documents.
Proficient with various types of office equipment
Requirements (Academic Education):

- Preferably University / College Graduate in Business Administration or equivalent experience.
- Undergraduate of any five year courses can be considered
- Computer Knowledge:

- Must have strong computer experience with all Microsoft Office applications, including Word, Excel and Outlook.
Work Conditions:

- Can work with less supervision and under pressure.
Other Requirements:

Driving Skills: Yes ���� No ���� (Yes is an advantage)
Physically strong and healthy.
