Purpose of the job: To ensure all electricity and natural gas supply contracts are negotiated in accordance with the Customer Service Level Agreements and in line with the department’s Trading Policy; to support the Relationship Managers to ensure that all electricity and natural gas supply contracts are delivered correctly according to the consultant proposal and the consultancy contract.
Key responsibilities:
1. To run the day-to-day procurement of electricity and natural gas supply contracts of Polish clients in accordance with the company’s Trading Policy and the underlying client SLA;
• Preparation of procurement and tender related documents (RFQs, tender reports, benchmarks);
• Capturing and updating of market prices;
• Preparing calculations related to energy supply contracts e.g. pricing models, index calculations, and transport calculations;
• Participation in client conference calls and presentation of tender results;
• Ad-hoc client queries (e.g. sold/closed sites);
• To assist with the development of new products/services and the enhancement of existing ones. This will be in close cooperation with the Sales and Relationship Management teams;
• To assist with the (further) development of the procurement systems and associated processes and services;
• Dealing with general correspondence and telephone calls received from customers and suppliers and following up of queries raised to make certain they are addressed appropriately within the allowed timescales;
• You have a responsibility to ensure customers do not serve termination or file any financial claims against our company as a result of poor operational performance;
• Maintenance of the supplier databases;
• Maintenance of the in-house databases and systems which are used to manage clients’ portfolios;
• Maintain and enhance data quality within the in-house database & procurement systems;
• You will be expected to build excellent working relationships with all major Polish electricity and natural gas suppliers;
• Provide intra and interdepartmental support and assistance to colleagues as and when required;
• To assist with the monitoring of the Polish energy markets.
2. To support the planned rollout of bill validation services to the Polish clients. The role will be to collect primary data on a monthly basis which will include:
• Consumption data, where applicable;
• Customer reads, where applicable;
• Copy utility invoices directly from electricity, gas and water suppliers.
This data is to be collected in an accurate and timely manner to support business processes.
• Invoice Collection: To proactively collect and archive in a timely manner the customers’ utility invoice directly from electricity, gas and water suppliers’ websites as well as directly from email, faxes, mails;
• Consumption Data Collection: To request and collect half hourly interval data from the relevant provider on a regular basis. The interval data to be processed and loaded into the required system in an accurate and timely manner to support the business processes.
• Fetching Data from the Web: Some of the data, such as prices, will need to be fetched from specific websites that publish those values.
• Archiving: Information will be uploaded into the internal database, paper based documents will be scanned, and electronic versions archived.
Person specification:
• Fluency in Polish (written and spoken);
• Fluency in English (written and spoken);
• An organised, detailed and methodical approach to task management;
• Preferably a previous exposure to contract management;
• The ability to identify problems and resolve them swiftly;
• Good communication skills and full commitment to the role;
• Advanced knowledge of general software (typically, Microsoft Excel, Word and Access).
