RESPONSABILITATI

Description of Main Tasks and Responsibilities:

- To provide administrative and clerical support to the Local and European Managers. This would include answering phones, meeting planning and other administrative tasks as assigned.
- To organize, coordinate and control of business trip process.
- To draft and proof read documents and letters for business purposes.
- To provide both pre and post meeting support including meeting preparation, agenda creation and minutes.
- To contribute to the integration of the new employees and foreign delegates;
- To act as an interface between Management and other departments within the company regarding the information exchange process;
- To create and update presentations and materials to support business activities.
- To prepare and handle ah-hoc reports requested by management.
- To take care of customer visits (accommodation, airport transfer, local transportation, meeting rooms set up, catering).
- To book flight tickets & hotel accommodation & transportation for Local and European Managers team.
- To provide permanent feedback to both caterers & cleaning personnel on daily tasks performance.
- To help with setting up company events (European Staff meetings, all employees events etc.).
- To coordinate procurement of spares, consumables and building management related services.
- To train the security guards and make sure the company’s security policies and procedures are implemented and followed.
- To select providers and vendors.
- To work closely with direct manager on negotiating contract terms and close contracts with the vendors.
- To check water dispensers, coffee machines & vending machines functionality.
- To keep track of general cleaning with the cleaning company.
