RESPONSABILITATI

Conducting and organizing an office’s administrative duties and events, as well as receiving and handling information for distribution to staff and clients
Serving as an office information manager
Receives incoming telephone calls, take messages, or transfer calls to appropriate individuals
Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs
Arrange conferences, meetings, travel reservations and accommodation arrangements for office personnel
Maintains calendar, schedules appointments and meeting rooms
Schedule and confirm appointments for clients, customers, or supervisors
Compose, type, and distribute meeting notes, routine correspondence, and reports
Locate and attach appropriate files to incoming correspondence requiring replies
Mail newsletters, promotional material, and other information
Make copies of correspondence and other printed material.
Open, read, route, and distribute incoming mail and other material, and prepare answers to routine letters
Set up and maintain paper and electronic filing systems for records, correspondence, and other material
Uses personal computer to prepare letters, addresses, statistical reports, tables, and charts
Types routine correspondence and reports from dictation or handwritten copy using personal computer
Conduct searches to find needed information, using such sources as the Internet
Performs research, and distribute information through the use of telephones, mail, and e-mail
Coordinate conferences and meetings
Manage projects, and contribute to committee and team work
Operate electronic mail systems and coordinate the flow of information both internally and with other organizations
Order and dispense supplies
Review work done by others to check for correct spelling and grammar, ensure that company format policies are followed, and recommend revisions
Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications
Learn to operate new office technologies as they are developed and implemented
Picks up and delivers materials as required
Operates personal computer to access e-mail, electronic calendars, and other basic office support software
Complete forms in accordance with company procedures
Completes various request forms for office supplies and equipment as directed
Coordinates special projects and events, office activities and committee meetings
Knows the formal and informal departmental goals, standards, policies and procedures which may include some familiarity of other departments within the bank Is sensitive to the interrelationship of both people and functions within the bank
Assure document translations, when required


CERINTE

University Degree
Knowledge of computer programs dealing with spreadsheets, word processing and database management
To be highly capable of typing and especially proficient in spelling, punctuation and other English skills
Good customer service and interpersonal skills because secretaries and administrative assistants must have tact as they interact with the public.
Good judgment, managerial or organizing abilities, inventiveness and the capability to work independently
