JOB SCOPE
- Ensure secretarial and office administrative support for Bucharest premises.

JOB RESPONSIBILITIES
- Processes various documents requested by departments managers.
- Supports managers in their daily activities agendas; fills in and updates databases.
- Organises meetings schedules, participates in meetings when required ensuring all necessary administrative, technical and translation support and keeps a track for the follow up action.
- Organizes trips and delegations of the departments managers and team members; ensures traveling tickets purchase, organises accommodation, airport transfers, transfers among different locations.
- Organizes various events inside and outside the company; organises top management meetings, ensuring protocol activities, lending assistance upon request.
- Organises the office correspondence, screens phone calls, enquiries and requests and handles them appropriately.
- Generates documents (letters, meeting minutes, reports, memos) as directed, in addition to handling and maintaining confidential information of all documents/procedures/information.
- Attends calls, receives visitors and corporate guests and ensures that hospitality is provided as required.
- Handles the overall office administration and coordinates various office services and activities.
- Coordinating the transmission and receiving mail and shipments.
- Performs technical and commercial documentation translation, manages internal and external correspondence.
- Deals with suppliers for accommodation and transport, for office supplies procurement, analyses the offers in order to obtain the best service costs.


CERINTE

WORK EXPERIENCE
5+ years of experience in a similar position, preferably in a large companies, international environment.

EDUCATIONAL BACKGROUND
University degree graduated.



SKILLS AND ABILITIES
- fluency in English (written and spoken) is mandatory; very good experience in technical and commercial translations, office correspondence;
- high skills in working in Word, Excel, Power Point, databases;
- high abilities to establish and maintain very good working relationships with colleagues and third parties;
- very good communication and active listening skills;
- team spirit, adaptability, flexibility, acceptance of opinions;
- pragmatic approach to work, high motivation and initiative;
- capacity analysis, evaluation and synthesis correlation in evaluating data and information;
- capacity to assimilate new knowledge;
