- Answer telephones and transfer to appropriate staff member
- Meet and greet clients and visitors
- Perform general duties to include but not limited to: photocopying, faxing, mailing, and filing
- Maintain hard copy and electronic filing system
- Sign for and distribute UPS/Fed Ex/Airborne packages
- Coordinate and maintain records for staff office space, phones, parking, company credit cards and office keys
- Setup and coordinate meetings and conferences, prepares the documentation
- Maintain and distribute staff weekly schedules
- Support staff in assigned project based work
- Setup accommodation and entertainment arrangements for company visitors
- Translates and edits texts from/into German and English
- Organizes the work agenda of the Manager
- Conceives and writes documents, studies, reports, minutes, when required by the Manager
- Organizes internal and external delegations of the employees from the Department
- Keeps in touch with partners for feedback in case of information activities
- Keeps the register for in and outcoming documents of the department
- Keeps various administrative evidences (for ex. attendance, evidence of the writing utensils)
- Writes and sends fax/post messages of the department to Romanian or foreign partners
- University studies
- Very good command of English language and German language
- PC operation: MS Office (Word, Excel, PowerPoint)
- Driver’s license (not mandatory)
