Main responsibilities of the job include:
- Providing administrative support to the Country Manager, including screening telephone calls, enquiries and requests, meeting and greeting visitors at all levels of seniority, prepare agendas for the visitors and make proper arrangements for their visits (accommodation & travel)
- Organizing and maintaining diaries and making appointments
- Dealing with incoming email, faxes and post, often corresponding on behalf of the Country Manager
- Producing documents, briefing papers, reports and presentations
- Organizing and attending meetings, taking dictation and minutes
- Devising and maintaining office systems, including data management, filing, etc.
- Arranging travel and accommodation and, occasionally, traveling with the Country Manager to take notes or dictation at meetings or to provide general assistance during presentations
- Organizing conferences and internal or external events
- Handling invoices and fiscal documents.
The successful candidates will ideally have:
- University degree
- Minimum of three years experience in a similar position
- Fluency in English
- Proficiency in MS Office
- Planning and organizing abilities
- Excellent communication skills (both oral and written)
- Client-oriented
- Availability to travel (internally)
- Ability to maintain confidentially with company information.
