RESPONSABILITATI

Job Requirements:

- The Principal’s PA will provide a comprehensive and confidential administrative and support service to the Principal.
- Provide an effective and efficient office support function for the Principal, taking independent and pro-active action where appropriate to resolve administrative matters.
- Support the Principal through effective prioritizing including the recognition and immediate processing of any urgent matters.
- Take responsibility for the Principal’s diary, liaising with relevant parties to organise meetings, appointments and schedules effectively.
- Attend a weekly meeting with the Principal to discuss the diary, priorities and other relevant matters.
- Provide direct support in the handling and management of email and written correspondence.
- Provide full secretarial support in relation to the production of correspondence and records, such as draft replies to routine correspondence for the Principal.
- Operate and manage the Principal’s telephone, screening and diverting calls as appropriate
- Respond promptly and effectively to telephone enquiries
- Support the Principal in the management and staging of BSB wide events
- Ensure meetings are organised efficiently in appropriate venues with hospitality, ICT facilities as required
- Receive and welcome scheduled visitors; act as gatekeeper in the event of unscheduled visitors
- Arrange the Principal’s travel plans as required
- Produce and email agendas, notes and minutes of meetings, including the periodical ones
- Ensuring the Principal has the correct documentation and information required for meetings
- Attend and take minutes/notes at the periodical meetings
- Order stationery and equipment for the School
- Prepare purchase orders for educational supplies.
- Check incoming goods, record invoices in order to monitor expenditure and dispatch invoices
- Liase with Finance department with regard to payments
- Assist the Principal with the preparation of budget requests in respect of books and all other educational materials.
- Maintain appropriate records throughout the year to support the Principal in managing the budget.
- Work with Admission department for information linked to admission requests and status, and Newsblast
- Work with the HR Coordinator on obtaining information related to recruitment, training, leave of absence, etc.
- Work with ICT in order to maximise the use of ICT to enhance the quality and efficiency of support and service
- Support the Principal with staff absence management and record keeping
- When the Principal is away, delegate items for action.


CERINTE

Responsibilities:

- Excellent numeracy/literacy skills
- Excellent inter-personal skills, including the ability to communicate with a range of audiences
- Excellent ICT skills including ability to use specialist packages
- Secretarial/ PA experience with a senior post holder
- Experience of working within an educational setting
- Excellent organisation, prioritization and time management skills
- Experience: at least three years continuous experience of secretarial and admin duties; desirable criteria: knowledge of working in the education sector.
- A high level of computer literacy i.e. Intermediate level skills in Microsoft Word and Excel to enable the preparation of reports, mail- merges, spread sheets and databases, and Outlook for email and diary booking, intermediate skills in Microsoft Power Point.
- Excellent interpersonal skills and the ability to communicate effectively with pupils, parents and staff and the wider school community. This requires an open, friendly approach together with a good telephone manner.
- Problem solving skills and an ability to apply tact and diplomacy when appropriate. The ability to prioritize tasks and to be able to show initiative in dealing with day-to-day situations.
- The ability to maintain in strictest confidence any information received concerning School matters. - Ability to work calmly under pressure, multi-task and manage a diverse workload within tight deadlines. The ability to reschedule and reprioritize.
- An excellent standard of written and spoken English and Romanian, with the ability to draft own correspondence.
- Confident and personable with a positive ‘can-do’ attitude and a sense of humor. High degree of personal drive and motivation. Ability to work well as a member of a team. An exemplary attendance record in his/her past and present employment. A willingness to undertake training in order to acquire a mastery of the PASS database and associated software. Ability to understand and adapt to the culture of an independent day school.
