The personal assistant will provide executive assistance to the Managers of Oracle University.
RESPONSIBILITIES:
- Generation of presentations and reports using PowerPoint and Excel for top level management meetings (call stats & booking/pipe/forecast)
- Meeting notes taken and distributed for senior management meetings as well as completion of follow-up of actions
- Maintenance of OU Sales Dashboard ensuring accurate business and employee information, liaise with support when necessary
- Standard RSC Reporting (sales incentives, headcount, team activities, booking information, pipeline, forecasting, revenue reports).
- Liaise with OU India Progress approvals and purchase orders authorisationsOrganisation of staff events
- Maintain employee attendance (holiday, sickness) travel and other personnel records for Management and HR Maintain RSC Organisation charts, distribution lists and information screen RSC new starter logistics (e.g. desk, pc, equipment, IT setup, phone setup)
- Responsible for OU bootcamp and other training logistics and communications
- Research and collate management information as required Manager Diary management and meeting organisation
- Travel/accommodation arrangements including pickup and agendas, travel (taxi arrangement, hotel accommodation, etc) for all foreign visitors
- Maintain OU Global Exchange site (internal web page)
- System use (isupport, purchase orders, OS, approvals, expenses, meeting room reservations etc.) SRs
- Ordering iProcurement items: stationery, computers, headphones, etc Sourcing providers.
- Work with facilities team to ensure desk and logistics and location
- Undertake ad hoc projects as requested
- Highly proficient in Microsoft Office and e-mail
- Very Organised
- Fully proficient at taking minutes of meetings
- Personable and cordial with all visitors & callers
- Minimum of 2 years experience in a similar role
- Third level qualification an advantage.
- Able to interact with senior management, fielding enquiries and taking instructions, accurately reflecting decisions and agreements in minutes.
- Pro-active, versatile and flexible approach and able to taken on tasks with little instruction or supervision A
- Ability to work with a variety of different people and cultures
- Fluent English
