- Welcomes visitors and informs staff of their arrival;
- Operates the switchboard and performs calls transfer;
- Sorts and distributes the incoming post and organizes and send the outgoing post;
- Manages proper acquisition flows and a Suppliers’ pool for: office supplies, office equipment, mobile and fixed communication, accommodation, travel and others. The purpose is to permanently ensure that HAVI pays a correct price, analyzed versus other offers, for the acquired goods and services;
- Manages and keeps up to date all the documents, in electronic and physical archives;
- Administrates the office and the office equipment in accordance with internal regulations (HR policies or others);
- Manages the company cars fleet and the fuel cards.
- Administrates the mobile phones and the data modems fleet;
- Properly manage ordering and delivering products or services from the related suppliers;
- Checking the related invoices (contract wise, company policies wise), making sure they are received in time and transmitted to accounting, including proper authorization based on our internal controls procedures (four eyes principles);
- First point of contact with the related suppliers;
- University degree (Finance / Administration / Other);
- At least 2 years experience in administrative activities;
- PC knowledge (Word, Excel, Access);
- Very good communication and organizational skills;
- Ability to work with different people and various tasks simultaneously;
- Team spirit, loyalty, enthusiasm, patience, professionalism;
- Proactive attitude;
- English language is a must.
