We are searching for an Executive secretary or personal/private secretary who can work closely with directorial staff to provide administrative support, usually on a one-to-one basis. ES help managers to make the best use of their time by dealing with secretarial and administrative tasks completion.
Management relies heavily on this position, trusting that work will be handled efficiently in their absence. Discretion and confidentiality are therefore essential attributes.


CERINTE

Executive Secretary often act as their manager's first point of contact with people from both inside and outside the organization.
Typical work activities include:
• devising and maintaining office systems, including data management and filing;
• arranging travel and accommodation
• prepare power point presentations;
• screening telephone calls, enquiries and requests, and handling them when appropriate;
• clients meeting
• follow up our properties management
• dealing with incoming email and post, often corresponding on behalf of their manager;
• elaborate minutes after meetings or discussions
• carrying out background research and presenting findings;
• producing documents, briefing papers, reports and presentations;
• Liaising with clients, suppliers and other staff.
• carrying out specific projects and research;
• responsibility for accounts and budgets;
• taking on some of the manager's responsibilities and working more closely with management;
• being involved in decision-making processes.
• deputizing for the manager, making decisions and delegating work to others in the manager's absence if necessary
• Recruiting personnel for projects and for the organization
• Training new personnel if necessary
• Weekly report to manager all task completion
It is assumed to have excellent minimum PC, Word, Excel, PowerPoint, Corel, excellent English both written and spoken
