RESPONSABILITATI

Reporting to key Firm leader(s), performs administrative assignments that vary widely in complexity.
¿ Managing the agenda of Firm leader(s), following-up their timetables to assure activities/communications are handled efficiently; manage Outlook Calendar, Tasks and Contacts updating/replicating with portable devices as required;
¿ Dealing with staff, clients and community/business leaders on a regular basis in a courteous and professional manner responding to requests, questions and assisting in identifying, managing and resolving issues;
¿ Coordinating/organizing meetings (external and internal), preparing and distributing agendas and materials in timely fashion; preparing minutes of meetings, distributing, and following-up on action items;
¿ Arranging travel schedules, flights, hotel accommodations considering frequent flyer/hotel programs, best options, etc;
¿ Reviewing correspondence and reports prepared by others for leader(s) review/signature; anticipating the need, may develop draft business correspondence for leader¿s review (memos, letters, e-mails);
¿ Document processing ¿ working with Word, Excel, Power Point;
¿ File maintenance activities - handling of confidential client and Firm materials; storing documents on network, etc.;
¿ Understanding and adhering to established office procedures;
¿ Performing tasks assigned by leader(s) related to business development, client relations;
¿ Additional duties as assigned.


CERINTE

¿ University degree (Economics, Finance or related discipline) and 4 plus years experience Administrative/Executive Assistant experience with prominent organization;
¿ Advanced level of proficiency with the use of MS products ( Word, Excel, PowerPoint, Outlook) and databases and technology to enhance deliverables; excellent report writing skills;
¿ Strong organizational/project management skills with ability to multi task across projects, balancing multiple commitments and communicating with appropriate others regarding priority matters;
¿ Excellent command of English language (written and verbal); ability to develop draft business correspondence for leadership (additional European foreign language would be an advantage);
¿ Excellent organizational skills and strong sense of responsibility; holds self accountable for ensuring that results are achieved;
¿ An appreciation of the cultural diversity present in the business environment;
¿ Pleasant, persuasive and determined; able to represents the firm in a manner consistent with how we want to be perceived.
