*Providing day-to-day assistance to the Branch Manager; sorting incoming mail, ensuring travel arrangements are made, ensuring correspondence and reports are typed and laid out to a high standard
*Collecting and presenting information and carrying out small projects as required, maintaining a filing system.
*Setting up effective systems to support the work of the office, including databases of contacts for clients and suppliers.
*Managing the paperwork for board meetings, taking minutes and working with other staff to ensure follow-up action is completed.
*Ensuring translation of documents from/into English as needed.
*Have relevant experience in an office providing secretarial and administrative support to several departments or individuals.
*Have excellent written communication skills, able to take minutes, draft routine letters, edit material as needed.
*Have confidence in the use of Microsoft Office and its applications;
*Have a good understanding of Internet-based activities: what the Internet is and how it can be employed in day to day office activities, be familiar with Internet communication and emails.
*Be a team worker, proactive, with lots of initiative and flexibility.
*Speak perfect English. French it is an advantage. Any other foreign languages are a plus.
