The role: Facilities Manager
Department: Xerox Global Real Estate & Facilities
Summary:
Reporting to the Head of Xerox Real Estate and Facilities, EMEA, the Facilities Manager is responsible for the day-to-day management of all facilities in Iasi and possibly other Romania locations. The role will implement all property and project management objectives that support the execution of Xerox Business Services’ business and real estate strategy for Romania.
The Facilities Manager will:
Have a proven capacity to approach problems effectively and creatively, offering innovative and practical solutions.
Be a good people manager and be able to easily interface with internal clients and solve problems
Have a working knowledge of IT systems
Have planning and organizational skills to successfully manage multiple priorities and assignments
Have strong communication skills to liaise with multiple business units and help formulate business case approvals
Have an understanding of Project Management and the fit-out and delivery of office and / or contact centre space.
Establish an excellent relationship with employees and ensure smooth liaison with external contractors and vendors for efficient running of the facility
The FM will need to be able to manage and administer multiple Xerox sites. They will:
Efficiently manage office space, propose ideas and measures for space optimization, and cost efficiencies.
Maintain an up-to-date seating plan and manage internal churn of space on an agreed timeline and budget
Be responsible for the maintenance of all Mechanical & Electrical systems
Be aware of Fire Safety regulations and Xerox codes of Health & Safety,


CERINTE

Facilities Management
The FM will need to deliver and manage services as required in an office / call centre environment. Specifically:
Manage facilities management contracts and renewals in line with the country strategy. This may include cleaning contracts, security contracts, etc.
Manage outsource partners and contractors
Maintenance of Electro Mechanical equipment
Air-conditioning - ensure optimal working of the a/c. Temperature control, maintenance, repair.
Ensure a clean and hygienic workplace for all employees.
Ensure all space complies with Xerox health & safety and fire safety standards and conforms to local codes and regulations
Site car parking management
Review, formalize and manage the process for access control and physical security
Understand the facilities impact of business contingency planning
Be the real estate and facilities contact person for the country crisis committee and the local point of contact for senior management.
Prepare and track facilities operational budgets and capital project works
Assist with and understand facility Health and Safety audits.
Ensure Fire Evacuation drills are conducted as per agreed schedule.

Real Estate & Project Management
The FM will:
Establish and maintain excellent relationships with all of our landlords
Understand business unit demand for space and work closely with our outsourced real estate service provider to negotiate and deliver new / renewed lease agreements.
Carry our continuous local market research for real estate information on lease costing and availability (in partnership with outsourced real estate provider)
Aid in the planning and execution of office design and layouts and their associate infrastructure requirements
Work with outsourced project management contractors to scope construction work and project timing plan, with contingencies and alternatives.
Scope out and implement staff movement plan with zero down time
Involve in design and construction phase while setting up office and call centre space
Planning and managing project budgets and assist with processing payments to vendors
Maintain and review lease documents in consultation with the Regional (EMEA) real estate team and Legal.

Previous real estate, facilities management and / or project management experience preferable (2-3 years)
Microsoft Office proficient
CAD experience would be a good plus
