Provides efficient reception and clerical services and performs routine secretarial work. Duties include receiving and directing incoming calls; receiving visitors and providing general information; opening, sorting and distributing mail; office machine maintenance and supplies.
Responsible for the day to day facilities management (Building and working space, training rooms, travel arrangements, organization of meetings,...) and stock control (water, coffee, office supplies, copy, ….).
Key Accountabilities:
-Answering calls in a professional manner and distributing to the relevant recipients.
- Allocating meeting rooms for external and internal meetings.
- Providing a courteous and professional “welcome” to visitors and directing them accordingly.
- Ensuring there is a smooth co-ordination between all external based activities that is required to be relayed internally.
- Responsible for ordering all National and International courier & taxi requirements.
- Ordering any in-house catering requirements for breakfast and lunch meetings.
- Setting up of meeting rooms when required.
- Managing office stationery stock and replenishing according to forecasted requirements.
- Maintaining a good working relationship with suppliers.
- Responsible for checking deliveries and invoices for all items ordered.
- Offer secretarial and administrative assistance.
- Create a positive, pro-active demeanor and maintain confidentiality of all sensitive and confidential issues.
-Technical skills : Knowledge of email systems, Windows Software (Word, Excel, PowerPoint,); Internet Explorer. The ability to learn and work with new Software and applications.
- Excellent Communication skills:
- Communicates appropriate, concise and accurate information in written and verbal formats.
- Good spoken and written communication skills in Romanian and English
- Must be able to communicate well with others
- Greets office visitors and personnel in a friendly and professional manner
- You must have a professional and courteous telephone manner
- Multi-tasking
- Experience: previous Reception/Secretarial/Administrative experience required
- Excellent organizational skills
- Excellent time management
- Self-starter
- Service minded: Willingness to take on additional responsibilities
- The patience and endurance to sit behind a desk all day
- Flexibility to juggle moderate degree of multiple and changing priorities
- Collaborative/teamwork attitude and skills a must.
